Leading an Effective Conference Call


     A conference call is designed to make it easier to the two participants of the call to involve more people to the conversation. They are usually used as a replacement for personal meetings when people cannot gather together . This method of guiding a meeting is cheap and reachable way to short the range between colleagues. Because of common usage of conference call they become more and more widespread, productive and successful.



Instruction
      1. Make sure all of the parties are acquainted with the information about the call, via email or fax.
      2. Start the conversation by asking each participant to introduce itself, by saying his name, position and location.
      3. Ask the participant to close there doors and windows and make certain that there will not be any disturbing noise during the conversation. Turn off your phone, do not drink or eat. Do not type on your laptop or computer to take notes, use pencil and paper instead.
      4. Engage participants with statements, do not ask open ended questions and
      5. Make curtain that the participants stick to you written agenda.
      6. Intrude upon a conversation if several participants attempt to speak at the same moment.
      7. Make sure that participators will not lose interest during the conference call. Try to involve all of the people in the topic you are discussing. There might be some shy people, so make sure they will take part in the conversation, by asking them for their opinion.
      8. Finish the meeting by making a short brief of the conversation. Do not forget to give your phone number and email in case participants have further questions or comments. Thank them for their time.
